Job Description

  1. Ensure that the office is running smoothly in regards to supplies and services by acting as liaison among various departments (IT, mailing room, accounts payable, HR, etc.)
  2. Coordinate equipment needs for the team members, such as laptops, phones and cell phones
  3. Diary management for the Head Legal & Compliance, UAE.
  4. Prepare itineraries; arrange travel, accommodation, visas, cars etc.
  5. Assist with the smooth running of department, and ensure premises and IT issues are promptly addressed.
  6. Organisation and maintenance of files for the Head Legal & Compliance, UAE
  7. To support the Head Legal & Compliance, UAE  in tracking and ensuring timely completion of Group initiatives


Assist on special projects as needed basis:

  1. Provide assistance to visiting STA, and HiPos on training
  2. Assist event organisation on ad hoc basis: Team Face to Face meetings and visits of Group Compliance and other special project i.e. volunteering projects within the bank


Key Roles and Responsibilities

  1. Provide comprehensive and timely administrative support to the Head Legal & Compliance, UAE.
  2. Assist in daily interaction with the region and other internal stakeholders
  3. General correspondence, faxes, prints outs, preparing power point drafts etc.
  4. Manage travel plans, visa, hotel arrangements, travel file
  5. Co-ordinate all travel arrangements for visiting staff including hotel accommodation, ticketing, transportation and visas i.e. for HiPos or STAs
  6. Managing and coordinating diaries for internal and external meetings and calls
  7. Assist in preparing meetings, gather meeting papers, discussion pack, agenda (i.e. for audit)
  8. Keep and manage contact database (CMG contacts)
  9. Prepare expense reports, process invoices for payment
  10. Controlling team’s expense reports
  11. Monitoring leave and approving leave requests and role / promotion changes in the PeopleSoft
  12. Ensuring that team has submitted their JO, JD and self assessment for the performance review
  13. Stock control and procuring office stationery, reviewing and monitoring invoices for payment
  14. Raising RMS request for all IT Procurement requirement of the department, follow-up and ensure the request is done on time;
  15. Maintaining Dept. Personnel files; update and maintain Admin documents in Shared folder and archiving
  16. Controlling monthly Cost transaction report and ensure all monthly expenditure are paid
  17. Maintain confidentiality at all time



Qualifications and Skills

  1. At least 5 years of equivalent experience.
  2. Ability to work independently and drive things forward
  3. Ability to work under pressure with fluctuating volume demands and deadlines
  4. Ability to prioritize and assist in effective usage of time.
  5. Act independently with minimum supervision
  6. Diplomacy and tact required in internal and external relationships
  7. Pro-activity /anticipation: anticipate needs/events and give advice before issues arise
  8. Ability to maintain an aggressive work pace
  9. Uses initiative to get positive results and finds better ways of working
  10. Strong attention to detail in a multi-tasking environment
